General regulations for committees in Brøndby Golf Club

At Brøndby Golf Club, a number of committees have been established within the various areas of interest. The purpose and tasks of individual committees are described under each committee.

Functional description for all committees:

  • The board appoints the chairman of the committee. The chairman composes the committee himself. The board must be represented by at least one representative in every committee.
  • The committee ensures that its members gain the knowledge and insight necessary to participate in the committee's work and the committee ensures that the continuity of the work is maintained regardless of personnel changes.
  • The committee describes its purpose and area of responsibility. The description must be found on the website. The description must be approved by the Board of Directors. The committees determine their own rules of procedure.
  • Every year, if necessary, the committee prepares a plan and a budget for the coming year's activities. The committee's budget proposals must be in the treasurer's hands by 1 December at the latest. The budget and annual plan must be approved by the board.

The board will not normally intervene in the activities of a committee. The intervention will be possible if:

  • the necessary coordination between the committees does not take place
  • the committee's/board's adopted decisions and any plans are not followed
  • the prerequisites for any plans change significantly

After committee meetings, a short decision report is prepared, as a minimum, for the committee members. The report is sent to the secretariat. It is important to secure information, coordination and reporting as well as the "history" for posterity.

The committees themselves are responsible for the provisions, rules and guidelines they adopt being published for the members and other partners (secretariat, website, notice board, etc.)

The work in the committees is unpaid.

Proposed rules of procedure:

  • The chairman calls meetings with at least one week's notice, and with an agenda.
  • The committee has decision-making capacity when at least half of the members are present.
  • Decisions are normally made by the committee deliberating until reaching an agreement. If a vote is necessary, a decision is made by simple majority vote. In the event of a tie, the chairman's vote is decisive.
  • In routine matters or in a situation where the committee cannot meet before a decision has to be made, the chairman can make the decision alone.
